How We Use Your Personal Information

We use the Relevant Information that we collect generally to fulfil any requests communicated through the Site. Additionally, we use this Relevant Information to:

  • Communicate with you.
  • Screen our communications for potential risk or fraud.
  • Report the adverse events you notify us about.
  • Respond to reports you make of a possible side effect associated with one of our products and to monitor the safety of our products.
  • When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.

We engage third-party service providers to manage and respond to telephone enquiries on our behalf. We ensure that any third-party call handling company we use has entered into a Data Processing Agreement with us, outlining their responsibilities and obligations regarding your personal data.

If you contact us to report a product quality issue or an adverse event, we may collect and store your personal data, including health-related information, in a secure, Salesforce-based platform. This platform helps us manage, assess, and report such incidents in accordance with our legal and regulatory obligations. The Salesforce platform is configured to comply with applicable data protection laws, and the provider of the Salesforce platform has entered into a Data Processing Agreement with us, outlining their responsibilities and obligations regarding your personal data. Access to your information stored on our Salesforce platform is restricted to authorised personnel only. Further detail on the retention and use of this information is detailed below (see “Data Retention” and “Data Collected for Pharmacovigilance/Complaints Purposes” sections below).

We may also share your Personal Information with other entities, for example, suppliers managing adverse event reports.

Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.

Do Not Track

Please note that we may not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

Your Rights

The rights available to you depend on our reason for processing your Personal Information and the local law in your jurisdiction, and there are exceptions to some rights. Depending on this you may have the right to:

Data Retention

When you make a communication through the Site, we will maintain your Relevant Information for our records for as long as we need it for its specified purpose. Once your Relevant Information is no longer needed, it will be deleted or anonymised so that individuals can no longer be identified from it. You also have the right to request the deletion of your information at any time. However, data related to pharmacovigilance (necessary to ensure the safety of medicinal products) cannot be deleted, even if requested by the data subject. In such cases, we will notify the data subject of the refusal, provide the reasons for it, and inform them of their right to lodge a complaint with a supervisory authority.

Data Collected For Pharmacovigilance Purposes

We may collect the following Personal Information depending on the individual contacting us (patient or reporter of an adverse event): name, surname, age, date/year of birth, gender, initials, contact details and profession. We may collect additional personal data in relation to health data or medical history of an individual experiencing an adverse event. We may be required by law to use your information to assess the safety of our products and report the data to the regulatory authorities. When reporting data to the regulatory authorities your Personal Information will be shared in an anonymous manner. Your data will not be used for other purposes other than activities related to pharmacovigilance.

We may receive Personal Information about you from third party sources (such as the physician who treats you), but only where we have checked that these third parties either have your consent or are otherwise legally permitted or required to disclose your Personal Information to us. The types of information we may collect from third parties will include the above types of Personal Information and we use the information we receive from these third parties only to assess the safety of our products, report any adverse events to regulatory authorities and contact you for any follow up information or for confirmation purposes.

Data Collected For Medical Information Purposes

We may collect name, surname, initials, date/year of birth, gender, contact details and profession of the individual contacting us with a medical enquiry. We may collect health data or data relating to the medical history of an individual submitting an enquiry to us. We collect this information to respond to your enquiry and follow up with you if necessary, in order to comply with our legal obligations. We may be required by law to report your data to the regulatory authorities, to the extent your enquiry is associated with an adverse event.

If we ask you to provide any other Personal Information not described above, then the Personal Information we will ask you to provide, and the reasons why we ask you to provide it, will be made clear to you at the point we collect your Personal Information.

Data Collected For Complaints Purposes

We may collect name, surname, initials, contact details and profession of individuals reporting a product complaint to us. If relevant for the evaluation of the product complaint, we may collect health data of the individual who suffered the complaint. We collect this information to assess and evaluate the product complaint in order to comply with our legal obligations. We may be required by law to report your data to the regulatory authorities, to the extent your complaint is associated with an adverse event or contact you for any follow up information.

In general, we will use the Personal Information we collect from you only for the purposes described in this Privacy Policy or for purposes that we explain to you at the time we collect your Personal Information. However, we may also use your Personal Information for other purposes that are compatible with the purposes we have disclosed to you (such as archiving purposes in the public interest, scientific or historical research purposes, or statistical purposes) if and where this is permitted by applicable data protection laws.

Changes

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
